2. VP FINANCE
ROLE DESCRIPTION: Elected volunteer is responsible for finance and maintaining and presenting all financial records required for chapter operations in accordance with chapter and bylaws.: (1)  Prepare and maintain financial records of all PMI South Africa Chapter moneys’ received from dues, dinner meeting payments, etc., and pay all bills. Promptly deposit all funds received; (2)   Develop an annual operating budget for the fiscal year, for approval by the Executive Committee; (3) Prepare financial reports on the activities and financial status of the PMI South Africa Chapter; (4) Manage all financial arrangements for meetings and special events, including the registration desk, collection of fees, and payment to meeting place; (5) Ensure conformance to South African regulations; (6) Support a timely and clean turnover of PMI South Africa Chapter records to the position’s successor; (7) Provide input into all PMI South Africa Chapter governance documents including the Operations Plan; and (8) Assist with the PMF Scorecard.  The elected volunteer identifies and trains a deputy to assist with the execution of portfolio responsibilities and ensures succession and transition plan.

3. VP MEMBERSHIP
ROLE DESCRIPTION: Elected or appointed volunteer is responsible for addressing the needs of chapter membership, including membership recruitment, retention, maintenance of membership records and associated value delivery in accordance with chapter policies and bylaws.  This includes: (1) Develop and implement a Chapter Membership Plan and provide regular reports; (2) Ensure continued growth through proactive recruiting, retention and member engagement, including the establishment of measurable goals and the monitoring of success metrics for appropriate action; (3) Answer general member/non-member information inquiries and other requests for assistance with membership and its benefits; (4) Support and attend annual general meeting and all chapter meetings as appropriate; (5) conduct regular analysis of membership data  and conduct surveys as needed by the chapter, in conjunction with marketing, communication, and program to support the development of member programs and services; (6) Provide regular communication list/member updates of the chapter; and (7) prepare succession plan.  The VP will identify and development a team of volunteers, with assistance from VP Volunteer Management, to execute portfolio responsibilities, including at minimum a deputy, administrative assistant and communication support.

4. VP COMMUNICATION AND TECHNOLOGY
ROLE DESCRIPTION: This is a new executive position in the Chapter.  The communication portfolio has been combined with VP Marketing position for the past two years.  This new position will be responsible for managing all chapter internal and external communications: establishing chapter communication strategy, annual plan, budget and schedule; establishing and running a regular chapter newsletter; managing regular announcement of chapter events; reviewing current chapter communications for effectiveness and member engagement; managing communication and documentation flow and filing/storage; managing website and contributing to website content; providing data analytics relating to chapter communications and chapter website; and respond to technical support requests.  Also, the incumbent will provide advice and lead application of digital solutions for chapter communications and events that improve effectiveness of delivery, impact for members and brand exposure, in coordination with the marketing portfolio VP.  Work is done in coordination with VP marketing and other portfolio leaders.  The volunteer will develop and manage a team of volunteers to carry out portfolio responsibilities with support from the VP Volunteer Management.  The following team roles have been identified: Website administrator; Digital Innovations expert; chapter email and mail chimp communications manager; Membership communication; Newsletter/publications; Information officer; and Social media.

STRATEGIC AND BUSINESS MANAGEMENT SKILLS:  Able to manage a diverse team of volunteers working on the content and technology dimensions of chapter communication; strategic and program planning; ability to develop messages on project management for chapter members and for senior executives; vendor management; event development desirable

5. VP MARKETING
ROLE DESCRIPTION: Elected or appointed volunteer is responsible for chapter-based marketing and public relations to increase awareness of both the chapter and the PMI brand within South Africa and develop and maintain relationships with sponsors for continued revenue generation, in coordination with VP Finance.  The VP of Marketing will develop and execute an integrated marketing and public relations program, using all available media and best practices, to support member acquisition, member retention, event promotion, outreach activities, sponsorships and other related activities in alignment with the chapter’s strategic objectives.   This will include coordinating and monitoring branded presentations to external stakeholders and other organizations interested in the PMI activities and carrying out marketing surveys.  The official will have access to PMI’s Marketing Portal and use PMI-provided marketing/PR resources and work with local vendors to develop marketing materials in accordance with PMI brand guidelines if suitable materials are not available in the Marketing Portal.  The VP will work closely with VP Communication and other portfolio leaders and will develop and lead a team of volunteers, including but not limited to Deputy, social media expert, communication technical support, and other supported as determined by the marketing program.  The official will develop and implement a succession and transition plan.

6. VP OPERATIONS
ROLE DESCRIPTION: VP Operations is an important role for helping the chapter to ensure well planned, executed and reported chapter activities and operates as the chapter secretariat.  The VP Operations will engage with EXCO members and their teams to (1) Set up guidelines and templates for activities, using PMI templates and assets; (2) Assist president and deputy president with program planning and administrative support; (3) Maintain activities/events calendar for the chapter, regularly updating; (4) Monitor performance based on chapter operation plan and key performance indicators and monitors the activity budget in coordination with the VP of finance; (5) Maintain Chapter organization chart, and organization breakdown structure, including names of team members, contact information and role duration; (6) Keep deputy president and president informed of any operational issues or opportunities for improvement; Attend EXCO meetings, virtual and co located meetings and arrange venues and electronic access; (7) Coordinate and distribute meeting agendas, monthly VP reports, keep the records of all business meetings of the chapter in chapter documentation system; (8) Provide records to members and outside organizations that request information; and (9) coordinate distribution of all general correspondence in coordination with VP Communication.

7. VP BRANCHES AND PROGRAM
ROLE DESCRIPTION:  The VP Branch and Programs provide direct support to the three PMI South Africa Branches in Gauteng, KwaZulu Natal, and Western Cape and to activities coordinators in the non branch regions. The VP acts as liaison between the EXCO and the branches and advises on the creation and development of new branches.  The VP ensures alignment between branches and activities in non- branch areas with chapter vision, mission and objectives. The official will develop in conjunction with the branches and the activities coordinators support plans aligned with achievement of chapter objectives and member needs for activities in branch and non-branch areas, maintain regular communication on the status of activities and provide regular reporting to the President and Executive Committee on branch and non-branch area activities.  The official will closely monitor the development of activities in line with membership growth and propose appropriate plans in line with growth and retention in coordination with Branch Leads, Coordinators and VP Membership.  The official will identify specific challenges for program development of branch and non-branch member activities and identify means of support in conjunction with chapter portfolio managers.  The VP will contribute to the chapter operational plan to support branch and non-branch programs, work with a volunteer team, including a deputy, to carry out responsibilities and develop a succession and transition plan.

8. VP VOLUNTEER MANAGEMENT
ROLE DESCRIPTION: The elected official operates the chapter’s volunteer management program and is responsible for the recruitment of chapter volunteers.  The official addresses the needs of the volunteers, including retention and recognition, and leadership development training in coordination with chapter portfolio leaders and provides other support in accordance with chapter policies and bylaws.  The official will (1) Conduct general volunteer orientation for all new volunteers including an overview of the volunteer structure, volunteer roles, responsibilities and deliverables; (2) Understand and leverage experience of volunteers and direct them to various initiatives in the chapter; (3) Identify and develop programs to involve, develop and engage volunteer members; (4) Oversee, administer and build awareness of the chapter (and PMI’s) volunteer policies, procedures and guidelines; (5) Develop volunteers to serve in their volunteer roles; (6) Develop and administer volunteer recognition programs; (7) Oversee and manage the chapter’s volunteer programs and services; and (8) Develop and implement succession and transition plan for the volunteer management portfolio.  The official will work with a team of volunteers to carry out responsibilities, including Deputy, Administrative Assistant and Communication Support.

ROLE DESCRIPTION:  The elected or appointed Volunteer operates under the direction of the President and Executive Committee.  Official is responsible for the liaison with companies, not for profit organizations and government agencies & departments regarding promotion of project management and awareness of PMI South Africa Chapter.  The volunteer develops a plan, addressing chapter objectives, for maintaining contacts with these entities and oversees a team of volunteers to carry out the work; makes representations to these entities and develops opportunities for sustainable collaborative partnerships that encourage chapter membership, mutually benefit chapter members and entities and coordinates with VP Marketing, Communication, Professional Development in making Chapter Professional Development on development of training opportunities for chapter members.

ROLE DESCRIPTION:  The elected or appointed Volunteer is responsible for the liaison with Registered Education Providers (REP) in South Africa.  The volunteer has responsibility for maintaining contacts with REPs, identifying opportunities for sustainable collaborative partnerships that mutually benefit chapter members and REPs and coordinating with Chapter Professional Development on development of training opportunities for chapter members.

3. VP SOCIAL IMPACT/PMI EDUCATIONAL FOUNDATION LIAISON
ROLE DESCRIPTION: The PMI Educational Foundation Liaison oversees the chapter’s social impact program and provides a vital communications and activities link between the chapter and PMI Educational Foundation for the purpose of supporting the social impact program, promoting awareness of PMIEF and providing increased value for PMI chapter members through social contributions.  The PMIEF Liaison works contributes to the chapter’s operational plan and regularly informs the chapter leadership and chapter members about how PMIEF resources (newsletter, scholarships, awards, learning resources) can be utilized in chapter activities for social good.  The official will remain in communication with the PMIEF Liaison Program Administrator (PMIEF staff contact) and attend  PMIEF virtual trainings, webinars and monthly teleconferences; Become knowledgeable about PMIEF programs, products and resources; Use the online ‘PMIEF Activity Form for PMI chapters’ to report back to PMIEF about any chapter programs for social good; Subscribe to and remain up-to-date with two PMIEF monthly e-newsletters: ‘PM For Social Good’ and the ‘PMIEF Liaison Newsletter’; Facilitate the sharing of ideas specific to the creation of new programs from PMI South Africa chapter to PMIEF.  The liaison will create a team of contacts at the branch levels and when possible in non-branch areas in order to promote and support the development of social impact programs in these regions.

4. CAPE TOWN BRANCH LEAD
ROLE DESCRIPTION: The elected or appointed volunteer is the PMI SA Chapter representative in the Western Cape, is a member of the Chapter Executive Committee, and contributes to the Chapter business plan and strategy.  The volunteer is responsible for the development and management of branch services to PMI SA Chapter members within the Western Cape, operating out of Cape Town and engagement with the members and other PMI SA Chapter stakeholders.  Recommend an annual calendar of events (such as meetings, speakers, field trips, training and social engagements). Consider satellite meetings to make chapter activities accessible to members. Identify accessible (parking, public transport)and safe venues and manage all physical arrangements. Prepare the program meeting notices. The branch lead will work with a volunteer team, which will be developed, in coordination with VP volunteer management, to conduct branch work and to liaise with national portfolios.
